Assistant Department Promotion Director in Bucuresti

BMS Romania is looking for Assistant Department Promotion Director to join our team in Bucharest. Key responsibilities: Specific tasks and activities regarding organization of events: 1. Centralizing internal events (BMS events) related to Sales Force (SF) e.g.: SF meeting/ internal trainings: record/tracking list of participants cost sharing per participant, where applicable e.g. issue POs on cost centers (e.g. SAM) 2. Offer support for Marketing Department (MKT) on the following specific cases: National events (3rd party events) - draft the contracts for speakers and with the organizer of the event. BMS events (SAM) - draft the contracts for speakers and sponsorship contracts. In order to be able to respect the deadline in obtaining the approval and signature for contracts (2 weeks prior event date) she/he must receive from CMM the following documents: spreadsheet with all details requested in sponsorship contract and consultancy contracts (PFA, PFI, SRL); approved Project Brief; notification from ANMDM; agenda and/or program of the event; offer from the organizer in case of 3rd party events; affidavit in case of consultancy agreement; SAP/Arriba - submit vendor creation request (HCPs and third party vendor); Communication with vendors (e.g. HCPs, event's organizer agencies) regarding contact information/details, orders, POs, invoices, any other required/needed information; DAS activities: retrieving and archiving contracts placement. 3. Offer support for Market Access Department (MA) on the following specific cases: National events (3rd party events) - draft the contracts for speakers and with the organizer of the event. BMS events (SAM) - draft the contracts for speakers and sponsorship contracts. Market Access specific projects support. 4. lnterAct (SF/MKT/MA events) activities: verifying archiving documents (contracts, program, list of participants, invoices if applicable etc); verifying summary plan: drafting contracts and agendas for P2P meetings (round tables); make logistic arrangements, where applicable; prepare documents for Health Care Providers (HCPs) sponsored disbursements, where applicable; drafting invitations to Health Care Providers (HCPs) (upon request); preparing documentation for contracts follow to be paid and monitoring payments; liaising with local/international agency, where applicable; POs issue, monitoring the PO, verifying the invoices and payments; Closing the events together with Key Account Manager (KAM) and assuring the blue folder is complete. 5. Support for transparency process assisting the Field Line Manager (FLM) at operational level in the planning and execution of all work related duties; records evidence related to travel within department (forecast for internal & abroad events); making reservations, insurance, accommodation, plain tickets + medical insurance accommodation voucher, visa and traveler profiles of Key Account Managers (KAMs) + FLM; sending correspondence by fax / mail and preparing packages of promotional materials for Mailed. Supports KAMs and channel partners in administrative areas such as order processing, customer quotes, sales information management, product training and financing; Responsibilities are within the Sales Support and Administration Function as a generalist or in a combination of Disciplines.
