EXECUTIVE ASSISTANT in Victoria

Purolite, an Ecolab company, a world leader in resin-based separation, purification and extraction technology, is seeking an experienced, professional and dynamic Executive Assistant at our state-of-the-art manufacturing site in Victoria, Brasov County. This position will perform standard and advanced executive assistant duties including the handling of highly confidential information and supporting a broader project team.To be successful in this role you must be a high-energy, very organized and polished self-starter who initiates and anticipates, communicates well, has excellent project management, writing and advanced computer skills. English fluency is critical, both verbal and written. This position reports to the Head of Public Relations and Executive Assistant. What You Will Do: Prepare translations of materials from Romanian into EnglishProactively manage calendars and schedule meetings and events for a senior executive and a broader project teamCoordinate domestic and international individual and group travel arrangements including logistics, agendas, developing complete and comprehensive itineraries, booking flights and accommodations, and arranging meetings and visitsExercise discretion in managing telephone calls and visitors; arranging and coordinating appointments, meetings, and functions; and preparing and providing appropriate documentation to assist with meetingsExercise discretion in handling confidential documentsProvide support with email management, record-keeping, coordination of conference calls and virtual meetingsProvide administrative services for executive leadership team meetings and other meetings, including distributing relevant materials and agendas, and preparing and distributing accurate minutes to a high-quality standard in a timely mannerProduce high quality reports, presentations and other documents in Microsoft Word, PowerPoint and ExcelPrepare drafts of correspondence, agendas, presentations and other documents in response to verbal and/or written instructions, to a high degree of accuracy and presentationManage projects as requestedPrepare expense reports and manage any invoices, complete other financial reconciliation as neededMake independent decisions regarding planning, organizing, and scheduling priorities for self and executivesAct as liaison for internal customers and key contact for executive contacts and customers Required Qualifications: Bachelor of ArtsMinimum 3 years of executive assistant experienceMinimum 1 years of experience working for multinational companyExpert Proficiency in Microsoft Office skills (Word, Excel, PowerPoint) Microsoft Outlook (email and calendar management) and Microsoft applications (e.g.: Teams)Digital savvy Fluency in written and spoken EnglishAbility to translate documents into EnglishStrong verbal and written communication skills and executive presenceUnderstanding of deadlines with minimal supervisionAbility to uphold strictest level of confidentiality and effectively manage sensitive information with professionalism and speedProficiency in collaboration and delegation of dutiesExcellent organizational, project management and problem-solving skills with a high attention to quality and detail with impeccable multi-tasking abilitiesExceptional interpersonal skills & friendly and professional demeanorDemonstrated follow-through and results deliveryDemonstrated initiative with the ability to take direction, work independently and be resourceful, anticipating and communicating potential issuesFlexibility to respond to urgent project needs and shifting prioritiesStrong customer focus and approachabilityCritical thinking, analytical and problem-solving skillsAbility to effectively manage multiple, competing priorities, to staggered deadlines, in a fast-paced environmentAdaptability and flexibility, with a willingness to collaborate in a team environment At Purolite, we manufacture products which help our customers around the globe, mainly in pharmaceutical and life science sectors, with technology which are critical to safe manufacture. #li-eu Our Commitment to Diversity and InclusionAt Ecolab, we believe the best teams are diverse and inclusive, and we are on a journey to create a workplace where every associate can grow and achieve their best.
