Finance and Operations Manager in Bucuresti

  • In Romania, we opened our office 3 years ago and selected 6 amazing Ashoka Fellows so far who are creating systemic changes in areas like health, investigative journalism, environmental conservation, civic participation and fighting against human trafficking. Our main strategic lines are:
  • Establish a balance between social impact and profit by promoting new values and indicators in the checks and balances systems. In an adequate social entrepreneurship environment, where more access to resources is granted and facilitated, individuals will be more incentivized to become social entrepreneurs.
  • Form Core Groups of Change collaborations to promote collective impact as a norm within the civil sector.
  • Create strategic and in-depth knowledge transfer programs to sustain the development of new solutions, projects and interventions in the civil sector and get involved in the process of systemically revolutionizing products, markets, and ultimately, systems.

ABOUT THE ROLE

Main Responsibilities Finance:

  • Prepare weekly payments (including external payments, reimbursements, salaries)
  • Issue Invoices
  • Build Monthly Financial Reports
  • Make updates in our CRM (Salesforce)
  • Communicate with the Ashoka Global Finance team
  • Represent Ashoka Romania in the European Finance & Operations team
  • Update the cashflow on a regular basis
  • Manage budgets for received grants and submitted proposals
  • Prepare and send Documents to Accounting Firm each month
  • Making sure the Register for documents is up to date and the team use the correct numbers for reimbursements
  • Prepare financial reports externally (e.g.: donors and partners) and internally (e.g.: European and Global reporting)
  • Manage our cash requests from other Ashoka offices

Main Responsibilities Operations:

  • Prepare Time Sheets and make sure team members fill in the file
  • Monthly review of pre payroll statement & confirmation
  • Communication with payroll agent in case of any salary changes/one-time payments
  • Communication and coordination with global HR team during performance cycle; once performance results are communicated, alignment with Ashoka Romania’s Director and payroll agent
  • Coordination with Ashoka Romania’s Director in case of personnel related changes (e.g.: increase of working time, new hires, etc.)
  • Managing job requisition process including communication with global HR team on approval process
  • Leading the recruitment process on our platform (Jobvite), aligning with global HR team on salary (salary benchmarking) before making any offer to candidates
  • Communication with payroll agent to prepare contract amendments and new contracts, reviewing documents and having them signed, forwarded to global HR team, payroll agent and archived
  • Managing volunteer offer letters, confidentiality agreements, corresponding extensions with candidates, Ashoka Romania’s Director and global HR team to have email accounts created
  • Storing and archiving all payroll related data
  • Drafting and aligning contracts between Ashoka entities and Ashoka Romania (Fund Transfer Agreements) and collecting signatures
  • Drafting Contracts and Addendums

Main requirements:

  • Motivated to contribute to social system change in Romania and globally
  • Have at least 2 years of experience in managing budgets (from forecasts to day-to-day cashflow operations)
  • You practice agency and co-shape your role within the local and larger organization
  • Have budgeting and reporting experience
  • Good people skills as you will be working with colleagues across the world
  • Understanding of legal framework of civil society organizations is a plus
