As a Junior Event & Learning Management Coordinator, you will organize events for the operating units within our commercial organization. To do so, you will work closely with all local team to provide high quality standard support services to our customers and Medtronic sales force by demonstrating a good understanding of Medtronic therapies, businesses, processes and policies with the ability to monitor information flows as well as resolving standard issues. You will ensure excellent service levels, pro-activeness while carefully balancing these interests with efficiency, costs, quality and compliance objectives. You will be the face to our Health Care Professionals when it comes to Training and Education and their blended learning journey. For this position you will need to be located in Bucharest, Romania. A Day in the Life F2F Event Support 10% Virtual Event Support Learning and Compliance Processing & Reporting Sales Force Data Cleansing CVENT Processing & Reporting BCS/Compliance Audit & Reporting Health Care Professional Services Tableau Reporting LEARNING SUPPORT COORDINATION: Manage cleaning and updating data in Sales Force when event related. Manage access and participants to learning programs and campaigns Monitor and follow up on Health Care Professional (HCP) learning programs Manage HCP communication in regards to request for training exemption and learning path. Coordinate with Sales Reps where needed Manage support for Learning journey e.g., monitor progress, discuss options, etc. Analyze feedback and success metrics Provide first-line of support to customers and coordinate with specialized support if needed (i.e. IT support, product support, Training & Education, Sales) EVENT MANAGEMENT SUPPORT AND COORDINATION: Coordinate and initiate internal & external Events and Trainings. Manage Meeting Requests through Cvent Review budget and approve Review and select vendors for event Assist Business in nomination and approval process (if applicable) Review, prepare and send event e-mails and invitation/notification letter/Invitation to Hospital/Registration form Manage invitation communication with HCP’s Manage communication with HCP regarding travel proposal Manage and prepare event including event materials Manage all processing & compliance related to HCP/HCO services & contracts Process Grants & Donations Setup venue and assist at venue where needed including check-in participants Distribution of surveys, capture and review feedback from participants and follow up Manage participant invoicing and payment Manage reviews of compliance documents and records to authorities (where applicable) Preparation of Agreements with HCP’s (MSA, WO, CL, HL) and Hospitals Logistics arrangements for Proctors Payments for faculties and HCOs Creating new vendors (HCP, HCO) CVENT Reporting Tableau Reporting Must Have and Nice to Have At least 1 year event management experience or customer service environment University degree Excellent English - fluency required Romanian language fluent Excellent organizational skills and attention to detail Time-management skills and the ability to work under pressure Ability to work in a fast-paced environment, with multiple and changing priorities while maintaining strong focus on execution and results Problem-solving skills and diplomacy Teamwork and negotiation skills Flexible and adaptable approach Well informed about or proficient in the use of modern technology Essential business system software knowledge/skill including Microsoft Office, Outlook We OfferIn our 5th Tenet of our Mission we recognize the personal worth of employees by providing an employment framework that allows personal satisfaction in work accomplished, security, advancement opportunity, and means to share in the company's success.
