Want to be a part of our team?The Order Management Administrator operates at a local level and would be responsible for low to medium value/complexity Orders. They take their guidance and direction from the Senior Order Mgmt Administrator and their instructions from a senior managers/SME in the business. They operate at a local or business unit level in low complexity environments, dealing with small to medium sized clients. In some environments, these individuals are assigned to support one/more client manager and/or sales specialist assisting with the implementation of sales support procedures and sales order related administration.Working at NTTJob Description - Key Role and ResponsibilitiesOrder ActivationProcesses orders for materials or merchandise from sales staff or direct customer contact. Maintains customer files with sales contracts and other information. Validates price quotations against Client Purchase order, completes order sheets and checks the price and quantity of each item listed. Distributes order sheets to respective departments. May coordinate with departments regarding order status, shipping dates, prices, product availability and back orders.They are in-charge of Order loading and processing Medium to low Value Complexity Orders.Order detailsThey Ensure the correctness and completeness of Order and quote information and data by verifying all subcomponents and documents of the order are included and that all details is completed, validated and correct.Provide an Administrative function to the Order Management team, including coordinating meetings and dealing with Group, Region and Country Contracts queries,Manage the activation of the Order through the Order Mgmt WorklistEnsure Client Quote Is converted to Client PO in the Tier 1 System and work through errors or discrepancies or escalate for resolutionEnsure that client order are updated with the latest sales order detail and that invoice amounts are updated in accordance to milestone billing. In some environments this will extend from the quote to order process to pre-sales and post-sales and may include dealing with service product enquiries, ensuring the resolution and escalation to the necessary third parties for resolution.Manage and maintain the primary, secondary and tertiary Order Mgmt checklists for each value stream and service portfolio within that stream.Order triggeringOrder Management Administrators keep track of orders through Case Mgmt and the OMW, (Order Management Worklist) they ensure that all order have been validated and reconciled against the quote and any third party vendor quotes for validity and data quality, before pushing onwards to the Order Specialist teams.They escalate details of errors and work through to resolutionManage Sales Orders of those services that do not convert to a contractEscalate details of order that will not be executed on time to the Order Mgmt Team leadThey ensure that client contracts are updated with the latest sales order detail and that invoice amounts are updated accordingly. In some environments this will extend from the quote to order process to pre-sales and post-sales and may include dealing with service product enquiries, ensuring the resolution and escalation to the necessary third parties for resolution.Ensure balance scorecard and Metrics and KPIs are being metVendor Administration Order Management Administrators also contribute to the administration of low to medium vendor contracts which includes sub-contractor contracts. They ensure that back-to-back contracts exist where required for client contracts and they track, and process associated back-to-back costs.When client contracts need to be updated, Order Management Administrators will obtain required information from vendors and sub-contractors, including quotes and product end-of-life data from vendors to update schedule detail. They ensure that all vendor contracts are renewed when required.Order Invoicing Order Management Administrator will assist in determining the amounts that need to be invoiced to clients and invoicing of new sales orders and ensure that this information is updated in a timely manner.They will collaborate when required with the Account Receivable teams to ensure that invoicing is processed according to Order agreements.Data administration Ensure that all relevant Tier 1 Tools and CMDB tools are regularly kept up to date with correct and accurate Contract/Sales order related Data from the Opportunity to Order lifecycle management process.The Order Management Administrator will also ensure data correctness and consistency across all documentation and Tier 1 Tools and systems. They are therefore required to take ownership of the data integrity.
