Personal Assistant to the Vice President, Engineering Center in Cluj

 

Candidatul ideal

 

• Responsible for all organizational aspects of the director`s administrative activity (organize and prepare meetings); 
• Plan and coordinate internal and external visits (prepare the agenda of the visits); 
• Prepare official documents; make sure the flow of the documents to be signed is followed properly; 
• Prepare required documentation, presentations and other materials; 
• Plan and arrange all administrative tasks regarding business trips (transfers, flights, car rentals, reimbursement documents, costs check); 
• Handle incoming and outgoing calls; 
• Create and update the internal SharePoint information; 
• Responsible for the creation and maintenance of the team presentation in intranet; 
• Procurement of IT-equipment, handling of invoices and other similar activities; 
• Organization of the team internal meetings including the preparation and distribution of the Meeting minutes. Regular tracking and reporting of the actions defined by the director. 

 

Descrierea jobului

 

• Bachelor in Business Administration, Public Administration or similar 
• Previous work experience (3+ years) as a personal/team assistant 
• Excellent PC skills in MS-Outlook, PowerPoint, Word and Excel 
• Excellent communication and organizational skills 
• Highly confident in the interaction with the senior management 
• Trustworthy and professional person who can deal with confidential data 
• Openness towards receiving and giving feedback 
• Diligent and assertive, easily adaptable 
• Basic experience with editing of web pages 
• Self-driven and cooperative personality who enjoys working in a dynamic environment 
• Fluent in English; German language skills are an advantage
