EDUCATION and EXPERIENCE

  • Preferred FM related experience including QHSE
  • Experience within a Facilities Environment. Practical experience managing contracts, working with supply partners to deliver a seamless, integrated service operating to processes and procedures
  • SKILLS
  • Fluency in written and spoken English language
  • Strong interpersonal, written and verbal communication skills
  • Good People Management skills, prioritises team workload, whilst encouraging team development
  • Possess a high level of IT literacy
  • Supports team members with decisions on routine matters encouraging innovative solutions, instils team ownership and pride
  • KNOWLEDGE
  • A strong understanding of good health & safety practices and promotes a strong Health & Safety culture
  • Good understanding of building management systems and processes
  • Awareness of the facilities management industry

The main attributes of the role are:

  • Manage the Reception Team and the reception processes, leading the team for seamless operations and excellent client service. Provide training, guidance and back-up based on need.
  • Manage the office environment by leading regular site checks, review of subcontractor service delivery and provide solutions on demand.
  • Print badges of new hires/ loaner badges etc. at direction and maintaining records as per security policy
  • Liaise with various Client departments, providing solutions for miscellaneous requests
  • Office management – orders for client (furniture, technical equipment, plants, etc.); help client in online orders to be submitted via Intrepid; parking places, keys, entrance cards management.
  • Assess, follow and implement CBRE standard processes and procedures (operational, sourcing, finance, QHSE, etc.) as per CBRE guidelines. Liaise regularly with both account and local operational teams.
  • On request of the client/CBRE, pre-sourcing activities (looking for the suppliers on the market; collecting offers for purchases preparations.
  • Coordination of repairs, maintenance, rebuildings; services to be ordered acc. to the agreements or ad-hoc. Contacts with the suppliers and the cleaning company.
  • Supervision of the office equipment (proper usage, planned maintenance): access control, cctv, ups and A/C units in the server room and all other equipment in the meeting rooms, entertainment room, kitchens and toilets.
  • Manage ticketing system CBRE My service – provide support to client employees, closeout tickets as per agreed SLAs, follow up on progress and issue on request reports.
  • Office onbording for new joiners.
  • Business continuity planning duties
  • Implement dedicated QHSE procedures, report EHS incidents and supervise the safety equipment & planned maintenances for it
  • Eco and HealthAhead initiatives.
  • Supervise small works conducted in client’s space as per service matrix or on demand after manager’s approval.
  • Supervision of the safety equipment planned maintenances
  • Placing orders in CBRE system – management of procure to pay process
  • Any reports requested by CBRE and the client.
  • Improve and stabilize client relationship and grow CBRE’s position within the client’s organization.
  • Identify and implement project works together with the designated CBRE support teams.
  • Develop and implement a sustainable service delivery strategy based on client’s potential and needsAbide by the company’s values and ensure proper adherence of oneself and one’s team
