We are currently seeking a proactive and detail-oriented Customer Service Administrator to join our dynamic team in Romania. As part of our global leadership in the elevator and escalator industry, you will play a key role in supporting service operations, managing maintenance contracts, handling billing, and ensuring high levels of customer satisfaction.
In this administrative position, you will work closely with technicians, supervisors, and customers to streamline processes, manage contract documentation, coordinate billing activities, and support the overall efficiency of service operations.
Key Responsibilities
Billing & Maintenance Contracts
Manage and maintain customer, equipment, and contract master data (including 24/7 contracts)Process billing for maintenance contracts in cooperation with KONE Business ServicesFollow up on billing issues and address customer complaints or cancellationsPrepare and update contract documentation, ensuring accuracy and completenessMonitor contract status and support renewals, extensions, and changes as neededEnsure compliance with internal processes and guidelines related to contract administrationSales & Administrative Support
Provide administrative support to the sales and service teams to ensure smooth contract executionCreate and manage service orders (SO) and purchase orders (PO), ensuring all required documentation is attached (SAP, Outlook)Handle SO/PO modifications and deletions when necessaryManage certificates of completion, ensuring they are signed, uploaded, and properly filedSupport reporting and analysis related to contract performance and service activitiesRequirements
Proven experience in an administrative or customer support roleExperience in contract management or service sales administration is an advantageStrong attention to detail and a focus on accuracyExcellent organizational skills and ability to manage multiple tasks simultaneouslyProactive and solution-oriented mindsetStrong communication skills in English (both written and verbal)Comfortable using digital tools, especially SAP and CRM systemsAbility to work both independently and collaboratively within a teamRead more on
