Customer Service Administrator – Romania (Maternity cover) in Bucuresti

We are currently seeking a proactive and detail-oriented Customer Service Administrator to join our dynamic team in Romania. As part of our global leadership in the elevator and escalator industry, you will play a key role in supporting service operations, managing maintenance contracts, handling billing, and ensuring high levels of customer satisfaction.

In this administrative position, you will work closely with technicians, supervisors, and customers to streamline processes, manage contract documentation, coordinate billing activities, and support the overall efficiency of service operations.

Key Responsibilities

Billing & Maintenance Contracts

  • Manage and maintain customer, equipment, and contract master data (including 24/7 contracts)
  • Process billing for maintenance contracts in cooperation with KONE Business Services
  • Follow up on billing issues and address customer complaints or cancellations
  • Prepare and update contract documentation, ensuring accuracy and completeness
  • Monitor contract status and support renewals, extensions, and changes as needed
  • Ensure compliance with internal processes and guidelines related to contract administration
  • Sales & Administrative Support

  • Provide administrative support to the sales and service teams to ensure smooth contract execution
  • Create and manage service orders (SO) and purchase orders (PO), ensuring all required documentation is attached (SAP, Outlook)
  • Handle SO/PO modifications and deletions when necessary
  • Manage certificates of completion, ensuring they are signed, uploaded, and properly filed
  • Support reporting and analysis related to contract performance and service activities
  • Requirements

  • Proven experience in an administrative or customer support role
  • Experience in contract management or service sales administration is an advantage
  • Strong attention to detail and a focus on accuracy
  • Excellent organizational skills and ability to manage multiple tasks simultaneously
  • Proactive and solution-oriented mindset
  • Strong communication skills in English (both written and verbal)
  • Comfortable using digital tools, especially SAP and CRM systems
  • Ability to work both independently and collaboratively within a team
