JOB DESCRIPTION Job DescriptionJob description – Executive Assistant and Program coordinator (P1)Program Coordinator in partnership with Romania Managing Director (MD) and Extended Leadership Team will coordinate selective projects and initiatives across the country and ensure successful roll out and execution.As Executive Assistant to Managing Director, he/she will be provide administrative support to Managing Director and being the liaison between internal and external stakeholder.Main responsibilitiesProgram Management – 70%Supports the Romania MD and country leadership team to ensures consistency and excellence in execution of programs at GHH or country levelEnsures an effective change management support during the implementation of the new structures and operational models, employee engagement, annual reward and recognition program, office management, cultural transformation projects or cross-enterprise projectParticipate in country Leadership team and business reviews and ensure all follow up items are addressed and acted uponDisseminates project information in a timely manner to all relevant partiesActively participates in (or takes lead of) programs as required by business needCommunicates frequently and effectively with internal stakeholders to ensure alignment and awareness around the programsAdministrative support to Managing Director – 30%Day-to-day administrative support is provided in a timely manner (eg. scheduling meetings, correspondence,, data collection)Ensure effective document and record management in line with policies and proceduresMaintains accurate and up to date contact details.Organization of travel of team members in case of group events/off-site (flight, hotel, ground transportation, etc)Pro-actively prepare internal/external team meetings (book meeting logistics, prepare meeting documents, direct liaison with selected facilitators and speakers) and follow up on meeting notesEnsure the necessary support with regards to procurement and financial system ( PO, Vendor Management, Expense Report)Core Competencies RequiredStrong interpersonal skills with demonstrated ability to build relationships with executive leadership, managers and all levels of co-workers.The ability to operate comfortably with ambiguity, complexity and changing prioritiesTeam-oriented consensus builder who understands how to achieve buy-in from diverse constituencies, building bridges, and designing “win-win” solutions across a matrix management organization.High degree of resilience and tenacity to drive change.Experience leading and supporting initiatives with impact at department or country level.Good program management skills with a proven ability to implement creative solutions that drive business results and evolve the culture.Requirements:3+ years of program management/project management experienceA Bachelor’s Degree in Finance, Engineering, Psychology, Human Resources Management, Business Administration OR equivalent experience is requiredExcellent English language skills (written and verbal) are a mustStrong MS office knowledgeWho we are … We are known as Merck & Co., Inc., Kenilworth, New Jersey, USA in the United States and Canada and MSD everywhere else.
