We’re looking for an Executive Operations Assistant who can keep high-level operations running smoothly; flights booked, meetings scheduled, visas handled, and executive calendars aligned, even when plans shift.
In this role, you’ll support a senior executive based in Denmark, primarily during European business hours. You’ll also work closely with the Senior Executive Assistant to the CEO, helping manage logistics for both the CEO and other senior leaders. From travel arrangements to calendar coordination, you’ll play a critical role in keeping plans on track -especially when the unexpected happens.
This is a hybrid role based in Romania, with remote flexibility and regular time in our new Bucharest office. While your day-to-day collaboration will be with a global Executive Assistant team (with colleagues in Denmark, the U.S., and Romania), you’ll be physically seated among local teams across a range of support functions. It’s a new and growing office, with new colleagues arriving each week, making it an exciting opportunity to help shape our ways of working and culture from the ground up.
What you will be doing:
Coordinate international travel—flights, hotels, transport, visas, for your executive(s) and the CEO
Manage calendars across time zones, resolving conflicts before they cause issues
Prepare and submit accurate expense reports and finance documentation
Plan and support executive meetings, off-sites, and team sessions
React quickly to changes in plans, adjusting schedules and logistics with minimal disruption
Partner with the Senior EA to the CEO and other EAs during high-demand periods
What you bring
Some years of hands-on experience in coordination—admin, travel, scheduling, and general support
A calm, solution-oriented mindset when priorities shift
Confidence using Outlook, Teams, Excel, and other tools to stay organized
Excellent communication skills in English
Based in Romania, with regular presence in our Bucharest office
Flexibility to support outside normal hours when needed
Comfort working across international teams and time zones
