Facilities Assistant in Bucuresti

The Facilities Assistant is responsible for assisting in all areas of facility management to ensure smooth operations and superior customer service. This includes tasks such as liaising with building management, managing building access, conducting building maintenance assessments, overseeing soft services vendors, assisting with financial processes, and ensuring safety procedures are followed. The assistant will also be responsible for managing contractors and vendors, conducting site inspections, reducing costs, and maintaining a neat and functional premises. The ideal candidate should have previous experience in a corporate environment, excellent communication and organizational skills, and a customer service background.What this job involves:Liaising with building managementProvide superior customer service to meet on-site client’s expectationsBuilding access management (badges and ID passes) for staff members assisting with issuance of ID/access passesAssessing building maintenance issues by conducting daily walks of the building and recording the findings.Overseeing the daily supervision of the Soft Services vendors for cleaning, internal planting, fire extinguishers.Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate mannerEnsure prompt and accurate management of purchase orders in JDE( JLL PO creation), Ariba (SAP PO creation)Conduct regular audits to ensure safety procedures on site are in place and workingAssist in carrying out safety procedures when neededUpkeep and review of onsite Manuals, Handbooks, Guidance notes related to the JLL Soft Services Working with the Client Facilities Manager and Moves and Changes team to address internal space requirements and to organise/assist with team moves and Moves and Changes team.Monitoring stock levels of Stationary and Consumables used by Employees and placing orders with suppliers.On site trained Fire Marshaller and First Aider/ all health and safety proceduresOther tasks and duties as required.Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)Assist in the procurement of vendors and services as requiredManage on site operations include Reception team and 3rd Party soft services and hard servicesConduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all timesSeek ways to constantly reduce costs and improve operational standardsMaintain premises in neat and good working condition at all timesFollow established escalation procedures and incident reporting proceduresAdhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategiesAchieve Key Performance Indicators and Service Level Agreement targetsSpecific tasks:Report and analysis related to office usage ( desk utilised, meeting room,…)Support with internal office refurbishment or team movesResponsible for access new hires and leaversOrdering office supplies pens, notepads, stamps, business cards.Managing vendorsMeeting room booking and setup arrangementsLocal EMS supportEvery day is different, and in all these activities, we’d encourage you to show your ingenuity.Sounds like you?
