For Current Gilead Employees and Contractors:Please log onto your Internal Career Site to apply for this job.Job DescriptionMarketing Assistant /Business AdministrativeWe are looking for a Business Administrative Assistant/Marketing Assistant, Oncology Business UnitEssential Duties and Job Functions:A key contact regarding administrative and organizational tasks for the Oncology BUProvide high quality administrative and organizational support to the Oncology teamWork autonomously within established guidelines, standard operating procedures, and defined processesSupport to determine the appropriate approach for new assignmentsProduces monthly reports on marketing expenditures versus budget working closely with finance departmentMaintain and update the Oncology Business Unit team’s agendas (events, meetings)Organize the filing of correspondence and documentationTake care of business travel arrangementsProvide support in vendor’s management (contract management with procurement and vendor, invoice management)Coordinate on-going projects and priorities in regard to the Oncology BUPrepare and execute POs for the departmentKnowledge of databases and programs used by the department (e.g. Veeva, Concur) to support the oncology team membersInitiate and post-process Veeva processes acting as creator, as appropriateBe present at larger meetings to coordinate activities and support overall logistic in giving optimal service to customer, as requiredSupport in preparing slide presentationsMaintains up to date GxP knowledge by following internal and external trainingsWorks directly with internal stakeholders, staff, and external vendors to ensure logistical aspects of meetings meet expectations Provides marketing administration support to the marketing team.Works in conjunction with marketing specialist and/or product management to ensure proper inventories of promotional materials and their timely shipment to field representatives and managers.Lead the participation of the organization and co-ordination of conferences, symposia and Local/International congresses.Collates market data and reports and routes to appropriate personnel. Interacts with vendors and coordinates promotional material production Handles the purchase request to invoice processes Position includes routine activities, such as word processing, answering calls, creating power point presentations, assembling reports.Knowledge, Experience and Skills  Typically requires a University degree and relevant experience in the pharmaceutical or event planning industryMinimum of 2 years of experience in similar functionsMust have strong experience in events management/planning and familiarity with service contracts and terms related to vendor contracts Must have good Executive presenceMust have strong project management skills Must have strong customer service skills Must have strong communication skills Must have strong proficiency in Microsoft Office applications. Must have good problem-solving skills Must be able to work independently BehavioursResilient profile with the ability to deliver in an ambiguous environmentAbility to engage and manage multiple stakeholders to achieve the objectiveCurious with learning agilityOperationally excellentOrganised with systematic approach to prioritisationProcess orientated to achieve the business objectiveGilead Core ValuesIntegrity (always doing the right thing)Teamwork (collaborating in good faith)Excellence (working at a high level of commitment and capability)Accountability (taking personal responsibility) For Current Gilead Employees and Contractors:Please log onto your Internal Career Site to apply for this job.
